What is Flowable?

Flowable is an open-source business process management (BPM) platform that enables organizations to design, execute, and manage complex workflows and cases. It supports BPMN for structured processes, CMMN for case management, and DMN for decision modeling. Key features include a process and case engine for automating workflows, an intuitive modeler for creating process diagrams without coding, and a decision rule management engine for standardized business logic. Flowable also offers AI-powered automation, allowing integration of AI agents into workflows, and supports microservices and cloud-native architectures for scalability. Its open-source nature provides flexibility and extensibility, making it suitable for various organizational needs.

  1. Intelligent end-to-end process and case management
  2. Open standards support: BPMN, CMMN, DMN
  3. Low-code, drag-and-drop application modeling
  4. Powerful, extensible engine with REST APIs
  5. Governance-first AI with full traceability
  6. Designed for complex, highly regulated enterprises

Eligibility

Number of Seats/Users: Flowable offers discounts based on the number of users or seats. A higher volume typically leads to a better discount structure, especially for enterprise-level usage.

Commitment to a Long-Term Contract: Discounts are often provided to companies that commit to using the service for a longer period (e.g., 1-year or 3-year contracts). A longer commitment shows Flowable that the company is serious and willing to invest in the platform long-term.

No Active Discounts: Companies that are not already receiving other active discounts may have a better chance of qualifying for additional discounts from Flowable. Flowable reserves discounts for new customers or those not currently under promotional pricing.

Volume or Usage Commitment: Flowable offers discounts if you agree to a minimum amount of usage or transaction volume. This could be based on data storage, transactions, or other metrics tied to how much you will use the platform.

Enterprise-Level Negotiation: Companies that qualify as “enterprise” due to their size or complexity (e.g., having large teams, multiple departments, or geographical presence) may be eligible for additional discounts from Flowable. Such companies are often in a position to negotiate for better pricing.

Early Renewal or Prepayment: Flowable often offers discounts if you renew early or prepay for the entire contract period. This is a common approach to securing a lower price.

Reviews

Here at Spendbase our internal data shows that Flowable tends to deliver strong value for enterprises that need flexible, standards-based process automation, but it also requires a solid technical backbone to unlock its full potential.

From what our Spendbase clients share, the main strengths cluster around:

  • Powerful, flexible engine
  • Strong support for BPMN, CMMN, DMN
  • Works well for complex, people-centric and case-driven processes
  • Good fit for large-scale and capital markets projects

  • Speed of delivery & low-code capabilities

  • Drag-and-drop modeling
  • Ability to prototype workflows quickly and iterate with business users
  • Low-code approach reduces heavy custom development in many cases

  • Enterprise-grade features

  • Rich APIs and RESTful design
  • Built-in user management
  • Helpful for orchestration across different systems
  • Good collaboration and support from the vendor, according to many clients

At the same time, our internal feedback flags a few consistent challenges:

  • Learning curve & required skills
  • Not ideal for sporadic or very non-technical use
  • Expressions and some advanced features are under-documented
  • Complex configurations often need expert support

  • Stability and UX

  • Some bugs and “always in change” behavior can disrupt teams
  • UI and guidelines could be more polished and consistent
  • KPI/metrics features sometimes need custom workarounds

  • Infrastructure considerations

  • Clustering with a single database can cause contention if not carefully designed
  • Cloud and deployment documentation could be stronger, especially for Azure and AWS

From a Spendbase discount and optimization angle, Flowable tends to pay off best when:

  • You have multiple departments with repetitive, regulated workflows
  • There is internal technical capacity (or a partner) to handle setup and complex use cases
  • You plan to standardize on BPMN/CMMN/DMN and reuse models broadly

In those situations, our clients usually see high ROI from automation and standardization, and any negotiated discount simply accelerates that payback.
